How to Use ChatGPT for Meeting Notes (Prompts You Can Copy)

There are three ways to use ChatGPT for meeting notes. You can paste your notes or a transcript into a chat and ask for the minutes. You can attach a recording and ask for a transcript. Or you can connect a meeting app inside ChatGPT so it reads your recorded meetings directly. The first way is free and works today, but it is only as good as the text you paste in. Below are all three, plus prompts you can copy for minutes, action items and the follow-up email.

Way 1: Paste your notes or a transcript, then prompt

This is what most people do. Copy your rough notes, or a transcript from Zoom, Google Meet or Teams, into a new chat. Then use one of the prompts below. Put the prompt first and the text after it.

Minutes of meeting (MoM):

Turn the meeting text below into minutes of meeting.
Use these sections: Attendees, Discussed, Decisions, Action items, Next meeting.
For each action item give one owner and a due date. If the text does not say
who owns it or when it is due, write "not stated". Do not invent anything.

Action items only:

List every action item from this meeting as a table:
Task | Owner | Due date | Quote that shows it was agreed.
Leave out anything that was only suggested and not agreed.

Follow-up email:

Write a short follow-up email to everyone who attended, based on the meeting
notes below. Thank them in one line, list what was agreed, then list who does
what by when. Keep it readable on a phone. No marketing language.

In five bullet points or fewer, what was decided in this meeting, and what is
still open? Mark anything that needs my manager's approval.

The line "do not invent anything" matters. When notes are thin, ChatGPT fills the gaps with plausible text. Asking it to write "not stated" makes the gaps visible, so you can fill them from memory instead of sending a guess.

Where this way stops: someone still has to take the notes, and that person is not really taking part in the meeting. If there is no transcript, the minutes can only contain what was written down.

Way 2: Attach a recording

If you recorded the meeting on your phone, you can attach the audio file to a chat and ask for a transcript or a summary. How well this works depends on your plan, the app you use and the length of the file. ChatGPT's help centre does not describe it as a transcription feature with fixed limits, so test it with a short clip before you rely on it for a long meeting.

The usual problems are speaker names ("Speaker 1", "Speaker 2" instead of people), long meetings that come back cut short, and meetings that mix languages. We tested the routes in can ChatGPT transcribe audio?

Way 3: Let ChatGPT read your recorded meetings

The third way removes both the note-taking and the pasting. Record the meeting with MeetNotes, then ask ChatGPT about it.

  1. Record. Put your phone on the table in the room, record on your computer, or send the MeetNotes Notetaker into a Zoom, Google Meet or Teams call.
  2. Connect once. Open MeetNotes in ChatGPT, click Connect and sign in. Full steps are in meeting notes in ChatGPT.
  3. Ask. "Use MeetNotes to list my action items from this week." "What did the client say about the deadline? Quote them." "Give me Tuesday's minutes as a Word file."

Each meeting already has a transcript with speaker names and minutes with decisions and action items, so ChatGPT works from what was actually said, not from someone's notes. The prompts from Way 1 still work. Just start them with "Use MeetNotes" instead of pasting text. Whichever way you use, read the minutes before you send them. Check every name, number and date. An AI summary that is 95% right still needs a person to catch the other 5%.

Can ChatGPT take meeting notes automatically?

Not on its own during an in-person meeting. You either paste notes or a transcript in afterwards, attach a recording, or connect a meeting app such as MeetNotes so ChatGPT can read meetings that were recorded for you.
