Security & data at MeetNotes
MeetNotes handles meeting recordings, so we keep the data story simple and honest. This page answers the questions procurement and IT teams usually ask us. If your question isn't covered, write to aabhas@ultragames247.com and you'll hear back from the founder.
How your data flows
- 1 · RecordYou record on your phone. The recording starts and stops only when you say so — the app never records on its own.
- 2 · UploadThe audio is uploaded to our server over HTTPS (TLS) for the sole purpose of producing your transcript and minutes.
- 3 · TranscribeThe audio is transcribed and each speaker is labelled — who said what, with timestamps.
- 4 · MinutesThe minutes of meeting are generated — summary, key takeaways, decisions, and action items — plus a shareable PDF.
- 5 · Your deviceThe transcript and minutes appear in your app. Nothing is published or shared unless you share it.
Where your data is stored
- Audio files and generated PDFs are stored on our server's disk.
- Structured data — transcripts, minutes, and account data — lives in a managed cloud Postgres database with row-level security enabled.
- The app never talks to the database directly. All access from the app goes through our API only.
AI processing
Transcription and minutes generation use specialist third-party AI processing providers. Audio and transcript content is sent to them for processing solely to produce your transcript and minutes.
Who can see a meeting
- Meetings are private to the account that recorded them.
- Team sharing is explicit — a meeting is visible to your team only when it is shared with the team.
- Share links are created by you, and only by you. They can be revoked at any time, with optional expiry.
Deleting your data
You are always able to delete your data:
- In the app: delete any individual meeting — its recording, transcript, minutes and PDF — or delete your whole account.
- Without the app: follow the steps on the data deletion page.
Payments
Payments are handled by the app stores and by Razorpay. We never store card numbers.
Certifications
We do not currently hold formal certifications such as SOC 2 or ISO 27001, and we won't claim otherwise. If your organisation needs specific assurances or a data processing agreement (DPA), email us and we'll work through it with you directly.
