AI Note Taker Without a Bot: Get Meeting Minutes With Nothing Joining Your Call

2 Nov 2026

Yes, you can get AI meeting notes without a bot joining your meeting. With MeetNotes, you record the meeting on your phone in the room, or upload a recording you already have, and you get back a transcript with each speaker labelled plus minutes of meeting: a summary, the decisions, and action items with owners. Nothing joins the call and nobody sees an extra participant.

Many people go looking for this after a client asked "who is that?" when an unfamiliar note taker appeared in the participant list, or after a meeting where every attendee brought their own bot. Below are the three bot-free ways to do it, and the one case where a visible note taker is still the simplest choice.

Way 1: the meeting is in a room, so put a phone on the table

For an in-person meeting there is no call to join, so no bot is involved at all.

  1. Open MeetNotes and tap Record meeting ("In the room, on this phone").
  2. Lay the phone flat in the middle of the table, screen up, nearer to whoever speaks softly. More on placement in where to put the phone.
  3. Tell everyone you are recording and get a clear yes.
  4. Tap Stop when the meeting ends. The minutes usually follow a minute or two later.

You do not set a language or set up speakers first. A meeting that switches language mid-sentence, such as Hindi and English, is written down as spoken. Name a voice once and MeetNotes recognises it in later meetings (naming speakers).

Way 2: you already recorded it, so upload the file

If you recorded the meeting yourself, with the meeting app's own recording feature, a voice recorder or a phone, upload that file instead. Tap the microphone button, then Upload a file.

  • Audio: MP3, M4A, WAV, AAC, OGG, OPUS, FLAC, AMR and more.
  • Video: MP4, MOV and WEBM. The sound is transcribed.
  • Up to 300 MB per file. Each file becomes its own meeting.

Details: uploading an audio or video file. You can also forward a voice note or an audio file to MeetNotes on WhatsApp or Telegram and get the notes back in the same chat (MeetNotes in WhatsApp).

Way 3: an online call, heard by a phone in the room

If you take the call from a laptop in a meeting room with the sound on the speakers, the phone on the table records both the room and the far side. This works best when the room is quiet and the laptop speaker is loud enough to understand. It is not a substitute for a clean recording on a noisy line.

On Android, a phone or WhatsApp call on the same phone takes the microphone away from other apps, so MeetNotes cannot record a call you are making on that same phone. Use another device, or record the call with your phone's call recorder and use call summaries.

When a visible note taker is the simpler choice

For an online meeting where you are not in a room, the cleanest audio comes from inside the call. MeetNotes has a Notetaker for Zoom, Google Meet and Microsoft Teams too. It joins as a visible participant, so everyone can see it, and the host admits it like any guest. We would rather say that plainly than call it invisible. See sending the notetaker.

So the honest split is: in a room, use the phone and nothing joins. Online, either upload your own recording or let a note taker join where everyone can see it.

What you get back

PartWhat it contains
SummaryA short account of what the meeting was about
Key takeawaysThe points that mattered
DecisionsWhat was agreed
Action itemsEach task with its owner, and a due date when one was said
TranscriptEvery line with the speaker and the time; tap a line to hear that moment

Share it as a PDF or an editable Word file, as a WhatsApp message, or by email to the attendees.

Privacy without a bot

  • Recording starts and stops only when you tap.
  • Meetings are private to your account unless you share them.
  • Recordings are encrypted in transit and at rest. You can delete any meeting, or set recordings to be deleted after processing while the notes stay.
  • You can keep new meetings only on your phone, erased from our servers once ready (keeping meetings only on your phone).

Always ask the people in the meeting before you record. See recording meetings and consent.

FAQ

Can I get AI meeting notes without a bot joining the call?

Yes. Record the meeting on your phone in the room, or upload a recording you made yourself. MeetNotes turns either into a transcript by speaker and minutes, and nothing joins the call.

Does MeetNotes have a bot at all?

It has an optional Notetaker for Zoom, Google Meet and Microsoft Teams. It joins as a visible participant that the host admits. Recording on your phone or uploading a file does not use it.

Can it tell who said what without a bot?

Yes. The transcript labels each speaker from one phone recording. You name a voice once, and MeetNotes recognises it in later meetings. Check the names when a meeting comes back, in case a voice was matched to the wrong person.

Which recordings can I upload?

Most audio formats, including MP3, M4A, WAV, AAC, OGG, OPUS, FLAC and AMR, and video in MP4, MOV or WEBM, up to 300 MB per file.

Does it work for meetings that are not in English?

Yes. You do not choose a language before recording, mixed-language sentences are supported, and you can have the minutes written in a different language from the meeting. Less widely spoken languages work with variable accuracy, so test a short recording first.

Is it free to try?

Every account includes 100 minutes of recording, and uploads count towards the same minutes.
