Consultation Notes Without Typing: How Doctors Can Use MeetNotes in the Clinic

15 Oct 2026

A busy OPD leaves no time to write. You listen, examine, explain, prescribe, answer the relatives' questions, and the next patient is already at the door. The notes get written later from memory, or in three words on the prescription pad.

MeetNotes lets you look at the patient instead of the keyboard. Put your phone on the desk and press record. When the consultation ends, MeetNotes writes the notes under the headings of an OPD sheet, including every question the patient asked and the answer you gave. You check them, and they are ready to file, print or hand over.

MeetNotes is a note-taking tool. It is not a medical device and gives no clinical advice: it writes down what was said in the room and nothing more.

First: ask the patient

Before you record, ask the patient (and any relative with them) if they are comfortable with it. A simple line works: "I record the consultation so my notes are complete. Is that all right?" If they say no, don't record.

You are responsible for the patient's consent and for the confidentiality rules that apply to your practice. For recording in India in general, see recording meetings and consent.

What the notes contain

Choose the OPD consultation format (under Doctors & clinics) and the notes come in these sections:

SectionWhat goes in it
ComplaintsWhat the patient came in with, with duration and severity as stated
HistoryPast illnesses, surgeries, current medicines, allergies, habits, family history, only as mentioned
Examination findingsWhat you observed, vitals and results read out, with numbers as spoken
DiagnosisAs you stated it, including provisional ones, in your words
Surgery or conservativeWhether surgery was advised or not, with the reason you gave
InvestigationsOne row per test: purpose and status
Treatment: medicinesName, dose, schedule and duration, each as said
Temporary medicinesShort courses, separately, with until when
How it happenedYour explanation to the patient of the cause
Advice givenDiet, care and lifestyle instructions, with amounts and durations
Follow-upWhen to come back, and what should bring them back sooner
Patient's FAQsEvery question the patient or relatives asked, with your answer

Sections where nothing was said are simply left out. There is also a short summary at the top, the decisions taken, and the action items for each side (book the test, bring the report, call back), with who and by when.

The Patient's FAQs section is the one patients value most. "Can I eat rice?", "Do I take it before or after food?", "Can I climb stairs?" are exactly the things they forget on the way home. Now they are written down with your answer.

You can see an example of OPD notes on our AI scribe for doctors page.

For surgeons: dictate the OT note

At the end of a case, choose OT surgery note and dictate. The note comes back with the patient details, diagnosis, surgery done, anaesthesia and anaesthetist, the team, date and time, the procedure steps in the order you dictated, highlights (difficulties, blood loss, specimens, implants) and the post-op orders as a table.

Counsellors and therapists have a Counselling session format in the same group. It records what the client brought, what came up and what was agreed, and never assesses or labels the client.

How to use it in a clinic, step by step

  1. Install MeetNotes on your phone (Android, iPhone or Mac) and sign in. Every account starts with 100 free minutes.
  2. Make OPD consultation your default. In Settings → Recording → Your profession & format, choose OPD consultation. It is then pre-selected every time you record, and you can still change it for a single recording.
  3. Ask the patient for consent, put the phone on the desk between you, and press record.
  4. Speak the important things out loud. Read the vitals out, say the diagnosis, say each medicine with dose and duration. What is said clearly is written clearly.
  5. Stop when the consultation ends. The notes follow shortly after, and you can see the next patient meanwhile.
  6. Review them before they go into the patient's record. Tap any line of the transcript to hear exactly what was said. If a medicine name or a patient's name was misheard, fix it once and it is corrected everywhere.

Recorded before you chose the format? Open the consultation and use Redo in a format to rewrite the notes as an OPD consultation.

Patients speak their own language

Patients describe their problem best in their mother tongue. There is no language to set: a patient speaking Hindi, Gujarati, Tamil, Arabic or a mix with English is written down as spoken, and the notes are written in the language you choose. More in transcription in any language.

Follow-up visits: see what was said last time

When you record, tap With and pick the patient. Every consultation with that patient then sits on one timeline, so before a follow-up visit you can open the patient and see what was said, prescribed and advised last time. You can add a short note to a consultation later, typed or spoken (for example "Report normal, continue same"), and mark the case closed when treatment ends.

Hand the patient a copy

Share the notes as a PDF or a Word file to print, attach to a referral, or send to the patient, so they have your advice in writing instead of relying on memory. You can also send them as WhatsApp text.

Privacy: what is true, plainly

Patient conversations are sensitive, so here is exactly what MeetNotes does, and what it does not claim.

  • Recordings are sent over an encrypted connection (HTTPS) to be processed. How data is stored is described on the security page.
  • Your consultations are visible only to your account unless you share them.
  • Consultations in the medical formats are kept out of AI-assistant connections to your account by default, so they are not shown if you connect MeetNotes to a chat assistant.
  • You can auto-delete recordings. Turn on Settings → Data & privacy → Auto-delete recordings and the audio is wiped from the cloud once the notes are ready. The written notes stay. Those consultations can no longer be played back or re-processed.
  • Any consultation can be deleted permanently, and you can delete your whole account.

MeetNotes does not claim any medical or health-data certification. If your practice is bound by a specific health-data law, such as HIPAA in the US, write to support@getmeetnotes.com before you record patients.

FAQ

Can a doctor use MeetNotes to write OPD notes?

Yes. Record the consultation on your phone and choose the OPD consultation format. The notes come under complaints, history, examination findings, diagnosis, investigations, medicines, advice, follow-up and the patient's questions with your answers.

Does MeetNotes give medical advice or make a diagnosis?

No. It writes down only what was said in the consultation and never adds advice or a diagnosis of its own. It is a note-taking tool, not a medical device. Review the notes before they enter a patient record.

Do I need the patient's consent to record?

Ask for it every time. Tell the patient that you record the consultation for your notes and record only if they agree. You are responsible for consent and for the confidentiality rules that apply to your practice.

Can patients speak in Hindi or another language?

Yes. There is no language to set. The consultation is written down as spoken, including a mix of languages, and the notes are written in the language you choose.

Can I delete the recording and keep only the notes?

Yes. Turn on Auto-delete recordings in Settings → Data & privacy. The audio is wiped from the cloud once the notes are ready and the written notes stay. Any consultation can also be deleted permanently.

Is MeetNotes HIPAA compliant?

MeetNotes does not claim HIPAA compliance or any health-data certification. If your practice must follow HIPAA or a similar law, contact support@getmeetnotes.com before recording patients.
